How we work out catering cost per person

The average catering cost per person for a wedding is about $46 to $55 for food (Zola, 2026), but the style of service changes that a lot. These are the typical food prices per guest we start from:

Service style Food per guest
Plated dinner $65 – $85
Buffet $40 – $65
Family style $50 – $70
Food stations $45 – $75
Heavy appetizers $35 – $55
Drop-off (no staff) Enter your quote

Source: (Zola, Wedding Catering Costs, 2026). "Heavy appetizers" means a stand-up reception with appetizers instead of a full meal. We have not found a reliable average for drop-off catering, so the calculator asks for your quote.

Then the calculator adds everything else on the bill:

  1. Menu level. Simple, standard and premium use the lower, middle and upper third of the style's range.
  2. Service charge. We start at 20%, the middle of the usual 18– 22% (Zola, 2026).
  3. Extra staffing and rentals, if your caterer bills them separately.
  4. Sales tax, at your local rate.

Worked example: a buffet for 120 guests

A standard buffet, 20% service charge and a 7% sales tax (an example rate, use your own):

Line Low High
Food per guest (middle third of $40–$65) $48.33 $56.67
Food $5,800 $6,800
Service charge (20%) $1,160 $1,360
Sales tax (7%) $487 $571
Total $7,447 $8,731
Per person, all in $62.06 $72.76

Notice how the per-person price grows once the service charge and tax are added. Comparing caterers on the food price alone can hide a big difference.

Ways to lower your catering cost

  • Choose the style carefully. A buffet or food stations need fewer staff than a plated dinner.
  • Ask for an all-in quote. Have each caterer include the service charge, staffing, rentals and tax so you are comparing like with like.
  • Watch the minimum order. For a small wedding, a caterer with a lower minimum can be far cheaper per person.
  • Consider a Friday or Sunday. Zola says these days often cost less than Saturday (Zola, 2026).
  • Plan quantities sensibly. Our food tools like appetizers per person help you avoid over-ordering if you are doing some food yourself.

Frequently asked questions

What is the average catering cost per person?

Zola's 2026 index puts average wedding catering at about $46 to $55 per person for food. The service style matters most: plated dinners run highest and heavy appetizers lowest.

Is a buffet cheaper than a plated dinner?

Usually. Zola's typical buffet range is $40 to $65 per person, compared with $65 to $85 for a plated dinner. A plated meal needs more servers, which is where most of the difference comes from.

What is a catering service charge?

It is a fee on top of the food, usually 18–22% of the food and drink bill. It typically goes to the catering company for staffing and overhead, not straight to the servers, so it is not the same as a tip.

Why is catering more expensive per person for small weddings?

Many caterers have a minimum order, often $2,500 to $4,000. If your guest list is small, you may pay the minimum anyway, which pushes up the cost per person.

Does the estimate include a tip?

No. Tips are separate from the service charge. Use the catering tip calculator to work out a fair amount once you know your bill.
