Getting the space right

Space is easy to get wrong. A dance floor that is too big looks empty. A tent that is too small pushes tables into the walkways and leaves the caterer nowhere to work. Rental companies size these things every week, and they use simple rules of thumb. These calculators use the same rules, so you can walk into the conversation knowing roughly what you need.

Dance floor size

Not everyone dances at once. At a wedding, about 40–50% of guests are on the floor at the busiest moment, and each needs about 4–5 square feet (Curated Events, 2025). The dance floor size calculator turns that into a floor made from standard rental panels, such as 15 × 15 ft, and shows the next size down if you are short on room.

Tent size

A tent has to hold more than chairs. Guests at round tables need about 12 square feet each and guests at long banquet tables about 10 (InTents, 2015). Then add buffet tables, a head table, the dance floor and space for a DJ or band. The tent size calculator adds every area and picks the smallest standard tent that fits, with the next size up as a backup.

Before you book

  • Check local rules. Some cities and counties set a minimum space per person or need a permit for large tents.
  • Measure the ground. You need flat space for the tent plus room around it for stakes or weights.
  • Ask for a layout drawing. A good rental company will sketch your tables, floor and buffet inside the tent.
