How the tent size is worked out

A tent has to hold more than chairs. The calculator adds up each part of your event and then picks the smallest standard tent that covers the total.

Worked example: a 100-guest wedding reception

Guests sit at round tables. There are two buffet tables, a head table made from two 8-ft tables, a DJ and a dance floor.

Space Square feet

Buffet tables (2) 200

Dance floor 225
DJ area 100
Total 1,905

The smallest standard tent that covers 1,905 sq ft is 30 × 75 ft (2,250 sq ft) . If more guests might come, or you want space for a lounge, step up to 40 × 60 ft.

Tips for sizing an event tent

  • Leave room for surprises. One tent rental expert suggests adding 200 to 300 sq ft for last-minute guests.
  • Don't forget the caterer. Catering prep needs space too, sometimes in a separate small tent behind the main one.
  • Check your local rules. Some places require 15 sq ft per person. Ask your rental company or local officials before you book.
  • Walk the site. Measure the flat ground you have. A tent also needs room around it for stakes or weights.
  • Size the dance floor first. The dance floor size calculator shows the floor size on its own.

Frequently asked questions

What size tent do I need for 100 guests?

For 100 guests seated at round tables, plan about 1,200 sq ft for seating alone, which fits a 20 × 60 ft tent. Add two buffet tables, a dance floor and a DJ and you need about 1,725 sq ft, or a 30 × 60 ft tent.

How many square feet per person in a tent?

About 12 sq ft per guest at round tables, 10 sq ft at long banquet tables, and 8 sq ft for a standing reception with high-top tables. Buffets, dance floors and stages need space on top of that.

How many people fit in a 20x40 tent?

A 20 × 40 ft tent is 800 sq ft. That seats about 66 guests at round tables or 80 at banquet tables, with no room left for a buffet or dance floor.

How many people fit in a 40x60 tent?

A 40 × 60 ft tent is 2,400 sq ft. That seats about 200 guests at round tables with nothing else inside, or fewer once you add a buffet, dance floor or band.

Do I need a permit for an event tent?

You may. It depends on your city or county and the size of the tent, and some set a minimum number of square feet per person. Your rental company usually knows the local rules, but check with your local building or fire office.
